Client Situation
Our client was looking to implement an Enterprise Document Management and Imaging System with a Business Process Automation solution to manage documents throughout the organization. Primary departments for consideration were Accounts Payable, Benefits, Legal, and Real Estate. Some of these departments were utilizing existing tools that were not capable of growth beyond the initial implementation for the department. The overall cost savings would come from eliminating some outside scanning, storage, and mail cost as well as increased productivity.
Approach
Working with the client we assessed processes during the Discovery phase of the engagement to identify the quickest ROI areas. Utilizing the results from Discovery, an implementation plan was developed for the target departments and implemented in multiple phases.
Solution
The Solution: Hyland OnBase has been implemented in the Accounts Payable, and Benefits departments with Legal and Real Estate implementations in process. IT has also implemented the OnBase solution for the management of Contracts, Change Orders, and Statements of Work. The implementation has given the end users greater visibility to required documentation. Accounts Payable is accessing invoices and supporting documentation stored in OnBase through the Lawson interface while Benefits and IT are utilizing the email integration for retrieval and workflow. The OnBase Workflow is utilized to gather additional information and notify users to exceptions. The client is very pleased with the BSI and Hyland solution and looks forward to deploying in within other departments.
